Renewal Email Templates

Once you have set up the templates in your communication tool, you can automate email sending based on segmentation, reducing the workload for your team.

As a best practice, you should use these templates as the first email in a more extensive sequence. Receiving an email does not guarantee an immediate response, and it may take several communications over various channels, such as email, text, phone call, or postal mail, before receiving a response.

Outline the Renewal Process

Reducing policyholder non-renewal starts by outlining what your renewal process looks like. This can alleviate stress and help reduce service work related to receiving the carrier renewal in the mail.

Subject line: We’ve got you covered for your renewal in 60 days

Hello [Insert Name],

With your renewal just 60 days away, we are already preparing for it. I wanted to ensure you are well-informed and prepared for what comes next.

You will receive a renewal notice from [Insert carrier name] in the next few weeks. You don’t need to worry or do anything with it when you receive it; we will also receive a copy and start working on your renewal.

The [Agency Name] Renewal Process

  1. You will receive a questionnaire next week so that you can review the information we have on file and make any updates. Having up-to-date information allows us to ensure that you have the right coverage at the most competitive price.
  2. When we receive the renewal, I will let you know.
  3. I will review the renewal to understand the new quoted price and any changes in coverage.
  4. I will email you 15 days before the expiration date recommending we either renew your coverage or make changes.
