How to Configure Applied Epic Reports for ReFocus AI Integration

This guide outlines the steps your team must complete in Applied Epic to ensure seamless data delivery to ReFocus AI for prediction, training, and remarketing workflows. These reports enable accurate model training, automated renewal insights, and improved remarketing performance.

1. Overview

ReFocus AI integrates with Applied Epic through scheduled, automated reports delivered via Connection Suite.
Your team will create and schedule four report types:

  • Training Report

  • Prediction Report

  • Home Report

  • Auto Report

Each report must follow a specific layout, delivery format, and scheduling cadence so that ReFocus AI can process the data with maximum accuracy.

Important: Connection Suite is only available on Windows machines, and column ordering in the Layout section must match exactly to ensure correct parsing.


2. Report Setup Requirements

Before You Begin

To successfully configure these reports, your Epic administrator will need:

  • Permission to create and edit reports

  • Access to Policies data (so the reports contain full records)

  • Access to Connection Suite

  • Permission to create Accounts/Contacts (required for SES email setup)

ReFocus AI can complete the setup for you if these permissions are granted.


3. Step-by-Step Setup Instructions

Step 1: Create the Report Layout

  1. Create a new report using
    Book of Business → Policy Book
    (this layout is required for both Training and Prediction reports)

  2. Add the required columns in the Detail section.
    Your ReFocus AI onboarding specialist will provide the exact column list.

  3. Verify that the columns appear in the correct order — ordering affects data mapping.

  4. Save the layout with a recognizable name (e.g., ReFocus Training Layout).


Step 2: Apply Criteria

Each report should include criteria based on your agency’s use case:

  • Training Report:
    Typically includes 5 years of historical policy data.

  • Prediction Report:
    Usually includes policies that expire in ~60 days, filtered to the upcoming week.

  • Home & Auto Reports:
    Include only homeowners or auto policies and any required remarketing data fields.

Your ReFocus onboarding team can help tailor criteria as needed.


Step 3: Configure Delivery Options

All reports must be delivered through Connection Suite using these settings:

  • Delivery Type: Email

  • Recipient: ReFocus AI SES email address (provided to your team)

  • Format: CSV

  • Naming Convention:
    The subject line must include the report type (e.g., “training”, “prediction”, “home”, “auto”).


4. Scheduling Requirements

Training Report

  • Run once (or once per quarter for model refreshes)

  • Subject line must include: training

Prediction Report

  • Run weekly (commonly scheduled for Thursdays)

  • Subject line must include: prediction

Home Report

  • Frequency: based on your remarketing workflow

  • Subject line must include: home

Auto Report

  • Frequency: based on your remarketing workflow

  • Subject line must include: auto

Training and Prediction reports must use the same column layout.

6. What ReFocus AI Needs to Complete Setup on Your Behalf

If your agency prefers ReFocus AI to configure and manage report setup, the following permissions are required inside Epic:

  1. Report Creation permissions

  2. Access to Policy Data

  3. Connection Suite access

  4. Ability to create Accounts/Contacts for SES email configuration

Once granted, ReFocus AI will handle end-to-end setup and validation.
