How to Connect ReFocus AI with Your Applied Epic

Connecting ReFocus AI to your Applied Epic system takes a short setup in Applied Epic and in the ReFocus AI platform, followed by an automated data sync that prepares your account for onboarding.

This guide walks you through each step so you can start using ReFocus AI's remarketing and account monitoring capabilities.

Step 1: Prepare Applied Epic

ReFocus AI connects to Applied Epic in one of two ways. Use Option A if your agency uses the Applied Epic API. Use Option B if your agency does not use the API and will send reports instead.

Option A: Applied Epic with API
  1. Go to developer.myappliedproducts.com (Applied DevCenter) and create a Mock App, for example ReFocus Integration – [Agency].
  2. Associate the API products, including CRM, Organizations, Policy, Workflow/Activity, and Attachments. Follow How to Connect Applied Epic APIs to ReFocus (Applied DevCenter Setup) for the exact products to select.
  3. Copy the Consumer Key and Consumer Secret. See How to find your Applied Epic API Credentials.
  4. Confirm with Applied whether the Mock App works in the sandbox environment. If it does not, promote the app to Production.
Option B: Applied Epic without API (Reports)

Make sure your Epic user has the following, or give ReFocus AI these permissions so we can configure the reports for you:

  • Permission to create and edit reports
  • Access to Policies data
  • Connection Suite (Windows)
  • Access to Accounts and Contacts for SES

Step 2: Connect Applied Epic in ReFocus AI

Option A: Applied Epic with API
  1. In a browser tab, go to the ReFocus AI Platform and create an account if you do not already have one.
  2. Once logged in, navigate to:
Settings → AMS → Select Applied Epic (API)
  3. Paste your Consumer Key and Consumer Secret.
  4. Click Save to connect Applied Epic to ReFocus AI.
Option B: Applied Epic without API (Reports)

Use Connection Suite to create four reports. See How to Configure Applied EPIC Reports for ReFocus AI Integration for the full walkthrough.

  1. Layout: Use Book of Business → Policy Book. Add the columns in the exact order provided by your onboarding specialist.
  2. Criteria: Create one report for each of the following:
    • Training: About 5 years of policy history
    • Prediction: Policies expiring in about a 60-day window
    • Home
    • Auto
  3. Delivery: Set each report to send by email to the ReFocus AI SES address, in CSVformat. The email subject must contain training, prediction, home, or auto, matching the report.
  4. Schedule:
    • Training: Run once (or quarterly)
    • Prediction: Run weekly
    • Home and Auto: Run based on your remarketing needs

Step 3: Set Monitoring Timeframes

ReFocus AI lets you set how far in advance you want to begin monitoring accounts for remarketing opportunities:

  • Personal Lines: Typically 45 to 60 days before renewal
  • Commercial Lines: Typically 90 to 120 days before renewal

Adjust these settings based on your agency's workflow preferences.

Step 4: Initial Data Sync

Once your settings are saved, ReFocus AI begins syncing your data from Applied Epic.

  • Sync duration: Typically 4 to 5 days
  • You receive an email notification when the sync is complete, inviting you to continue the onboarding process inside the ReFocus AI portal.

Step 5: Data Mapping in ReFocus AI

Before you can use the full capabilities of ReFocus AI, you complete a short data mapping exercise:

  • Map data such as Active Policies to the correct fields in ReFocus AI.
  • If you have any questions, your Customer Success Manager (CSM) can walk you through the process.

Step 6: Start Seeing Results

Within about one week of completing data mapping, you begin to see:

  • At-risk accounts flagged for review
  • All of your renewals within a 60-day window, with the option to remarket these policies

Your team can then work more efficiently, focus on higher-value client interactions, and service more accounts in less time.

Tip: For the best results, review your monitoring timeframes quarterly and adjust them based on market conditions, carrier changes, and renewal trends.
