How to Connect ReFocus to Your HawkSoft AMS System

Connecting ReFocus AI to your HawkSoft AMS system is a straightforward process that can be completed in under 15 minutes, followed by an automated data sync to prepare your account for onboarding.

This guide walks you through each step so you can start leveraging ReFocus AI’s remarketing and account monitoring capabilities.

Step 1: Verify Marketplace Access in HawkSoft

Before you begin, ensure you have Marketplace access in HawkSoft and the ability to add new apps.

  • If you are unsure, check with your HawkSoft system administrator or contact HawkSoft support.

  • Without Marketplace access, you won’t be able to install the ReFocus AI integration.

Step 2: Add ReFocus AI in the HawkSoft Marketplace

  1. Log in to your HawkSoft AMS account.

  2. Navigate to the Marketplace from the main menu.

  3. Use the search bar to look for "ReFocus AI".

  4. When you find ReFocus AI, check both boxes for:

    • Read Access – Allows ReFocus AI to pull your account and policy data.

    • Write Access – Allows ReFocus AI to push updates and processed data back into HawkSoft. (These refer to API reading and writing capabilities.)

Step 3: Create & Connect Your ReFocus AI Account

  1. In a separate browser tab, go to the ReFocus AI Platform and create an account if you don’t already have one.

  2. Once logged in, navigate to:
    Settings → AMS → Select HawkSoft

  3. Enter your Agency ID from HawkSoft.

  4. Click Authenticate to connect your HawkSoft account to ReFocus AI.

Step 4: Set Monitoring Timeframes

ReFocus AI allows you to set how far in advance you want to begin monitoring accounts for remarketing opportunities:

  • Personal Lines: Typically 45–60 days before renewal

  • Commercial Lines: Typically 90–120 days before renewal

Adjust these settings based on your agency’s workflow preferences.

Step 5: Initial Data Sync

Once your settings are saved, ReFocus AI will begin syncing your data from HawkSoft.

  • Sync Duration: Typically 4–5 days

  • You’ll receive an email notification once the sync is complete, inviting you to continue the onboarding process inside the ReFocus AI portal.

Step 6: Data Mapping in ReFocus AI

Before you can start using ReFocus AI’s full capabilities, you’ll complete a short data mapping exercise:

  • Map data such as Active Policies to the correct fields in ReFocus AI.

  • If you have any questions, your Customer Success Manager (CSM) can walk you through the process.

Step 7: Start Seeing Results

Within about one week of completing data mapping, you’ll begin to see:

  • At-risk accounts flagged for review

  • All Your Renewals with a 60 day window with the option to remarket these policies.

Your team will now be able to work more efficiently, focus on higher-value client interactions, and service more accounts in less time
