How to Set Up Email Forwarding for MFA Codes in Automated Remarketing

Easily add your carrier credentials to ReFocus AI or setup email forwarding to enable automated quoting.

Key considerations

When adding carriers to enable automated remarketing, you will encounter two situations:

  1. Situation One: The carriers will allow unlicensed support staff to quote through their portal
  2. Situation Two: The carrier only permits licensed agents to have a unique login. 

Both situations are supported on the ReFocus platform. Before starting to add carrier credentials, it is important to establish which situation you will encounter so that you can use the correct approach.

Why it matters: To enable seamless quoting, we need to manage multiple complex authentication processes before we quote. At this time, both email and text (SMS) based multifactor authentication (MFA) are supported.

Based on the situation, there are two approaches to give ReFocus access to quote on your behalf.

  1. Situation One Approach: When unlicensed staff are allowed to have access to the carrier portal, setup a unique user within that carrier using the provided ReFocus email address (more on where to find this email below).
  2. Situation Two Approach: When only licensed staff are allowed to access a carrier's portal, we require you to share the credentials of a licensed staff member at your agency and setup a forwarding rule within the email client.

💡The Situation One Approach is the preferred method of adding carriers as it limits complexity and makes error handling easier.  


How to add carriers for automated quoting

Step 1

As an administrator in ReFocus, login to the platform (app.refocusai.com).

From the Dashboard, navigate to Settings ➡️Carriers.

In the searchbar, type in the name of the carrier you want to add. 

Step 2

Select the carrier you want to add from the available list to open that specific carrier's settings page.

💡Before entering carrier credentials, please establish whether the carrier will allow unlicensed staff to have their own login or if only licensed agents can access the carrier portal.

Situation One Approach:

Copy the email in MFA Forwarding Setup and use this as the email for the new user you are creating.

Sometimes, the carrier will require other information to setup a new user. When that occurs, we recommend you use:

  • First Name: ReFocus AI
  • Last Name: Intelliagent
  • Phone Number: Please reach out to your onboarding specialist

After creating the user, an email should be sent automatically. When received, the credentials will be verified and confirmed on the portal. In the rare case where the initial email is initiated by the person setting up the new user, please make sure to select the option to send the email.

Situation Two Approach

When sharing credentials, please ensure that the password follows best practices:

  • The password should be unique and should not be used for any other carrier or internal system
  • Consists of a passphrase or a unique alpha-numeric string that is at least 12 characters long.

After entering the credentials of a licensed user, Copy the email in MFA Forwarding Setup and setup a forwarding rule in your inbox.

💡Some corporate emails prohibit forwarding outside of your organization. It can be helpful to involve your IT team when setting up forwarding rules.

Step 3

As many agencies carry state specific appointments, and not all products are offered in all 50 states, setting up Line of Business is the next step in setting up a new carrier.

From the Lines of Business dropdown menu, select the policies you want to quote with that carrier.

From the States dropdown menu, select 'All' or any combination of States to enable that carrier to be used.

Select 'Save' to save your changes.

💡As new Lines of Business are supported, this step can be repeated to add other Lines to an existing carrier.

⚠️ To prevent unnecessary quoting, the ReFocus platform will automatically remove States from the dropdown based on decline reasons such as 'Carrier XYZ is no longer accepting new Home quotes in that State'. 

As carriers reopen for business, it is important to keep the Line of Business and States up to date.
